How to turn a screenshot into a spreadsheet

A screenshot freezes data at the moment it was captured. Turning it back into a spreadsheet means recovering the structure — the rows, the columns, and the header that tells you what each number means.

What 'making a screenshot editable' actually means

There is no way to edit a screenshot in the useful sense. What you can do is reconstruct the data it depicts as a spreadsheet, and then edit that. The picture stays a picture; the values become cells.

Once that reconstruction exists, everything a spreadsheet is good for comes back: sorting, filtering, formulas, charts, and importing into another system.

Step by step

  1. 1. Capture at full size

    Zoom the source to 100% or more before capturing. Resolution is the single biggest factor in extraction quality.

  2. 2. Include the header row

    Without it, the columns come back unnamed and you have to label them from memory.

  3. 3. Upload to GridFiller

    Drop in the screenshot — PNG, JPG, WEBP, or PDF, up to 20MB.

  4. 4. Extract and open the grid

    The table appears as editable rows and columns, usually within seconds.

  5. 5. Clean up

    Delete subtotal rows, fix any misread values, rename headers.

Long tables that don't fit on one screen

Scroll and capture in overlapping sections, then upload the captures together and choose append rows. GridFiller takes the header once and stacks the rest in upload order, so keep the files in sequence.

Delete any duplicated rows from the overlaps in the editor — that check takes a few seconds and prevents double-counting later.

Common problems and fixes

  • Faint or thin text — re-capture at a higher zoom instead of enlarging the image afterwards.
  • Dark-theme interfaces — light backgrounds usually extract more reliably.
  • Half-visible bottom row — scroll slightly and re-capture.
  • Two tables in one capture — crop them apart and use the keep-separate strategy.
  • Wrong merge result — re-run the same files with a different strategy rather than re-uploading.
